Effective 11 October 2026
1. About these terms
- 1.1. Travel African Time (Pty) Ltd, registration number 2019/334030/07, is a South African travel agency and tour operator trading as Travel African Time (“Travel African Time”, “we”, “us” or “our”).
- 1.2. These terms apply to quotations, proposals, bookings and travel services arranged by us, as well as use of this website. The person making the booking (“the Client”) accepts these terms on behalf of every traveller included in the booking and must ensure that each traveller is aware of them.
- 1.3. A quotation or proposal may include additional supplier conditions, fare rules, cancellation terms, minimum stays, age restrictions or other requirements. Those disclosed conditions form part of the booking terms for the relevant service.
- 1.4. To the extent of any conflict, a specifically disclosed supplier condition applies to the relevant supplier service, while these terms continue to apply to Travel African Time’s role and the booking as a whole. No provision excludes a right that cannot lawfully be excluded.
- 1.5. These terms apply to bookings confirmed on or after the effective date shown above. A booking confirmed earlier remains subject to the terms and supplier conditions accepted when that booking was made, unless the parties agree otherwise in writing.
2. Our role and the travel services
- 2.1. We research, design, cost, reserve and coordinate private journeys. Services may include accommodation, flights, charter flights, transfers, vehicle hire, rail travel, guiding, tours, activities, restaurant reservations and related travel arrangements.
- 2.2. We do not own or operate the accommodation, aircraft, vehicles, vessels, activities or other travel products included in a journey. Those services are provided by independent suppliers under their own operating conditions, licences and responsibilities.
- 2.3. Travel African Time acts as the arranging travel agency or intermediary for third-party services and remains responsible for performing its own obligations with reasonable care and skill. Nothing in these terms removes any responsibility imposed upon us by applicable law.
- 2.4. Descriptions, images, facilities, routes and schedules are based upon information reasonably available from suppliers and other verified sources. They may change after publication, and we will communicate a material change affecting a confirmed booking as soon as reasonably practicable.
- 2.5. Wildlife sightings, animal movements, weather, water levels, natural events and other conditions beyond human control cannot be guaranteed.
3. Enquiries, proposals and formation of a booking
- 3.1. Website content, sample journeys and from-prices are invitations to enquire and are not offers capable of acceptance. Availability is checked only for a specific enquiry.
- 3.2. A proposal is prepared for the named Client and intended travelling party. It must not be relied upon for another party, date or purpose.
- 3.3. Unless otherwise stated, a quotation is subject to availability, currency movements, supplier confirmation and any stated validity period. No service is held or confirmed merely because it appears in a proposal.
- 3.4. A booking becomes binding when we issue written confirmation after receiving the required acceptance, traveller information and cleared payment, and the relevant suppliers have confirmed the services.
- 3.5. The Client must review names, dates, services, rooming arrangements, inclusions, exclusions and prices immediately and notify us promptly of any discrepancy. Supplier amendment charges may apply after confirmation.
4. Prices, currencies and quotations
- 4.1. Prices are quoted in South African Rand (ZAR) or United States Dollars (USD), depending upon the contracted currency of the services concerned. Separate ZAR and USD amounts or invoices may be issued for the same journey.
- 4.2. Website from-prices are planning guides based upon approved public rates. The confirmed proposal may differ according to travel dates, occupancy, room category, minimum stays, compulsory charges, local levies, supplier amendments and qualifying offers.
- 4.3. The proposal or invoice will state the services included and excluded. Airfares, park fees, levies, taxes, fuel surcharges and other third-party charges may change until ticketed or fully confirmed where a supplier or authority retains the right to amend them.
- 4.4. We will not increase an accepted price without informing the Client of the reason and obtaining any authorisation required by applicable law. Where a change is caused by an exchange-rate movement, supplier charge, tax or levy permitted under the accepted quotation, we will provide a clear revised amount before further commitment where reasonably possible.
- 4.5. We reserve the right to correct an obvious clerical, calculation or system error. If the correction materially changes the journey cost before confirmation, the Client may decline the corrected proposal. If discovered after confirmation, we will address the matter fairly and in accordance with applicable law.
5. Deposits and payment
- 5.1. A deposit of 30% of the confirmed land-service cost is ordinarily required to secure accommodation, transfers and other land arrangements.
- 5.2. Full payment is required for charter, scheduled and commercial flights when they are booked, unless the applicable fare rule expressly provides otherwise.
- 5.3. The remaining balance is due 60 days before the first travel service begins.
- 5.4. Full payment is required for a booking made within 60 days of the first travel service.
- 5.5. A supplier may require an earlier, larger or non-refundable deposit for a private villa, exclusive-use property, specialised product, flight, permit, festive or peak-season booking. Any known requirement will be stated in the proposal, invoice or supplier conditions.
- 5.6. A service is not secured until the required cleared funds have been received and the supplier has confirmed it. We are not responsible for a service becoming unavailable while payment or required traveller information remains outstanding.
- 5.7. Payments must be made in the currency and by the method stated on the invoice. The Client is responsible for bank, correspondent-bank or card charges unless the invoice expressly states otherwise.
- 5.8. If a payment is overdue, we may notify the Client and suspend further work or release unprotected reservations after giving reasonable notice, subject to supplier deadlines and applicable law. Any resulting supplier cancellation charge remains payable.
6. Payment methods and security
- 6.1. Payment may be made by electronic bank transfer, including an international SWIFT transfer, or by an approved Visa or Mastercard transaction where offered.
- 6.2. Card transactions may be processed for Travel African Time through PayGate (Pty) Ltd or another payment provider identified at the point of payment. Card information entered on the provider’s secure page is processed by that provider and is not stored by our public website.
- 6.3. The merchant outlet country is South Africa. The transaction currency will be the currency shown on the applicable invoice or secure payment request.
- 6.4. Travel African Time will never notify a change of banking details solely by an unverified email. The Client must independently confirm any purported change with us using a known telephone number before making payment. We are not responsible for payment sent to a fraudulent account where this verification step was not followed, except to the extent required by law.
7. Amendments requested by the Client
- 7.1. A request to change names, dates, routing, occupancy or services must be made in writing and remains subject to availability and supplier approval.
- 7.2. The Client is responsible for any additional supplier cost, fare difference, amendment fee or non-refundable amount arising from an authorised change. We will disclose known additional costs before confirming the change where reasonably possible.
- 7.3. A substantial change may be treated by a supplier as cancellation of the original service and creation of a new booking. The applicable supplier terms will then apply.
8. Cancellation by the Client
- 8.1. A cancellation must be submitted in writing and is effective only when acknowledged in writing by Travel African Time. The Client should retain our acknowledgement.
- 8.2. Subject to applicable law and any stricter supplier condition disclosed before confirmation, our standard cancellation charges are:
- 8.2.1. cancellation 61 or more days before the first travel service: the 30% deposit is forfeited;
- 8.2.2. cancellation 60–28 days (inclusive) before the first travel service: 50% of the total booking cost is forfeited; and
- 8.2.3. cancellation fewer than 28 days before the first travel service: 100% of the total booking cost is forfeited.
- 8.3. Supplier-specific charges may apply earlier and may be as high as 100% for flights, permits, exclusive-use properties, private villas, festive or peak-season travel and other non-refundable services. The greater applicable charge will be identified in the proposal, invoice or supplier terms before confirmation wherever known.
- 8.4. Cancellation charges will not exceed the amounts lawfully recoverable in the circumstances. Where applicable, they reflect the nature of the services, the notice given, supplier commitments already made and our reasonable costs.
- 8.5. If a supplier grants a waiver or ex gratia refund, we will pass the recovered amount to the Client. We cannot guarantee that a supplier will grant a waiver or refund.
- 8.6. No refund is ordinarily available for a no-show or an unused part of a journey after travel has commenced, unless required by law or recovered from the relevant supplier.
9. Changes or cancellation by us or a supplier
- 9.1. Travel arrangements may be changed because of weather, wildlife conditions, operational requirements, safety concerns, transport disruption, government action, park or border restrictions, supplier closure or another circumstance beyond our reasonable control.
- 9.2. Where a confirmed service cannot be provided, we will use reasonable efforts to offer a suitable alternative of comparable character and value. Where that is not reasonably possible or acceptable, the remedy will be determined by the circumstances, the amount recoverable from the supplier and applicable law.
- 9.3. If we are unable to confirm the proposed services after receiving a deposit, we will offer suitable alternatives. If the Client does not accept them, we will refund the amount received for the unconfirmed services.
- 9.4. If Travel African Time cancels a confirmed service for a reason within our control and does not provide an accepted alternative, we will refund the amount paid for that cancelled service, subject to any greater remedy required by law.
- 9.5. We will not cancel a confirmed booking solely because a later sale would be more profitable.
10. Events beyond reasonable control
- 10.1. Neither Travel African Time nor a supplier will be in breach for a failure or delay caused by an event that could not reasonably be prevented or controlled. Examples include severe weather, flood, fire, epidemic or pandemic, natural disaster, civil unrest, war, terrorism, industrial action, government action, border or park closure, transport disruption, infrastructure failure or a significant security incident.
- 10.2. We will provide reasonable assistance, communicate material information and seek practical alternatives. Additional costs arising from rerouting, extended stays, replacement services or repatriation are payable by the Client unless a supplier, insurer or applicable law provides otherwise.
- 10.3. The Client is strongly advised to obtain comprehensive travel insurance covering cancellation, curtailment, medical expenses, evacuation, baggage, delay and events beyond reasonable control.
11. Travel documents and delivery
- 11.1. Final vouchers, tickets and other travel documents are issued electronically once the relevant services are confirmed, required information has been received and the applicable payments have cleared.
- 11.2. Document timing depends upon supplier release schedules. We will advise the Client if a supplier issues a document only shortly before travel.
- 11.3. The Client must examine all documents promptly and notify us immediately of an error. A supplier may charge for a correction or reissue.
- 11.4. The Client is responsible for travelling with the correct current passport, visa, permit, health certificate, parental-consent document, ticket and other required documentation.
12. Passports, visas, health and traveller responsibilities
- 12.1. Entry, transit, passport, visa, vaccination and health requirements vary by nationality, residence, destination and personal circumstances and may change without notice. Information supplied by us is general guidance and must be verified with the relevant embassy, consulate, authority or qualified health professional.
- 12.2. The Client must ensure that every traveller’s passport has the required validity and blank pages. Certain Southern African destinations may require at least two consecutive blank visa pages, but the applicable authority’s current requirement must be checked before departure.
- 12.3. A child travelling with one parent, a guardian or another adult may require an unabridged birth certificate, consent letter or other supporting documentation. The responsible adults must verify the requirements applicable to the child and itinerary.
- 12.4. Travellers must disclose relevant dietary, medical, mobility and accessibility requirements sufficiently early for us to request suitable arrangements. A supplier may be unable to accommodate a requirement, and no arrangement is guaranteed until confirmed in writing.
- 12.5. Travellers must comply with reasonable safety instructions, local laws, conservation rules and supplier conduct requirements. A supplier may refuse or terminate a service where conduct creates a safety risk, causes serious disruption or is unlawful, subject to applicable law.
13. Travel insurance, medical assistance and evacuation
- 13.1. Comprehensive travel insurance is strongly recommended from the date of confirmation. The Client is responsible for ensuring that the chosen policy is suitable for the travellers, destinations, activities, trip value and any pre-existing medical conditions.
- 13.2. Travel African Time is a Global Rescue Safe Travel Partner. Global Rescue offers medical, security, travel-risk and evacuation assistance through our partner page. Membership is a separate agreement between the traveller and Global Rescue and is not a substitute for comprehensive travel insurance.
- 13.3. Where available, travel insurance may be considered through the linked insurance service. Travel African Time does not provide regulated insurance advice and does not warrant that a particular product is suitable for a traveller.
- 13.4. Without appropriate cover, medical treatment, evacuation, cancellation and disruption costs can be substantial and remain the traveller’s responsibility.
14. Responsibility and limitation of liability
- 14.1. Travel African Time is responsible for exercising reasonable care and skill in the travel-arrangement services it performs.
- 14.2. Independent suppliers are responsible for operating and delivering their services. To the extent permitted by law, we are not liable for an independent supplier’s act, omission, insolvency or failure, except where liability arises from our own negligence, breach of duty or applicable law.
- 14.3. We are not liable for loss caused by inaccurate information supplied by the Client, failure to obtain required documents, failure to follow safety or entry requirements, or an event described in section 10, except to the extent imposed by law.
- 14.4. Nothing in these terms excludes or limits liability for fraud, wilful misconduct, gross negligence, death or personal injury caused by negligence, or any liability or consumer right that cannot lawfully be excluded or limited.
- 14.5. Where liability may lawfully be limited, our liability will be confined to loss that was reasonably foreseeable and directly caused by our breach. We will not be liable for indirect or consequential loss, loss of enjoyment, loss of profit or loss of opportunity except where applicable law provides otherwise.
15. Complaints and assistance during travel
- 15.1. A traveller who encounters a problem must notify the relevant supplier and Travel African Time as soon as reasonably possible so that there is an opportunity to investigate and assist.
- 15.2. A complaint that is not resolved during travel should be submitted to us in writing, with supporting documents, as soon as reasonably possible after the journey.
- 15.3. We will acknowledge and consider the complaint in good faith. Nothing in these terms prevents a Client from approaching a competent consumer-protection, tourism or judicial authority.
16. Website information and acceptable use
- 16.1. We take reasonable care to keep website information current, but it may contain errors or become outdated. Website content does not replace a confirmed written proposal.
- 16.2. The website may contain links to third-party websites. We are not responsible for their availability, content, security or terms and do not endorse every statement appearing on them.
- 16.3. The website must not be misused, interfered with, scraped at scale, used to introduce malicious code, or used in a manner that infringes our rights, a supplier’s rights or applicable law.
- 16.4. Access may be suspended where reasonably necessary to protect the website, confidential information, users or our business systems.
17. Copyright, trade marks and media
- 17.1. Copyright © 2026 Travel African Time (Pty) Ltd. All rights reserved. Copyright in original text, itinerary presentation, graphics, page layouts and other material created for this website belongs to Travel African Time unless stated otherwise.
- 17.2. Website content may be viewed, downloaded or printed solely for personal, non-commercial travel planning. It may not be copied, reproduced, republished, scraped, distributed, adapted, sold, licensed or used for a commercial purpose without prior written permission, except where permitted by law.
- 17.3. The Travel African Time™ name, logo, clock device and brand slogans are used as trade marks of Travel African Time (Pty) Ltd. The ™ symbol denotes trade-mark use and does not represent a claim that the mark is registered. The ® symbol will not be used unless registration has been granted.
- 17.4. Supplier names, property names, third-party trade marks, photographs and other third-party material remain the property of their respective owners and are used with permission or under the applicable licence.
18. Privacy and electronic communications
- 18.1. Personal information is processed in accordance with our Privacy Policy, which includes information about travel documents, supplier disclosures, international transfers, marketing preferences and data-subject rights.
- 18.2. Optional website analytics are controlled through the privacy settings available on the website. Declining optional analytics does not prevent use of the website.
- 18.3. The Client agrees that booking confirmations, invoices, notices and travel documents may be delivered electronically to the contact details supplied. The Client must notify us of a change to those details.
19. Governing law and general provisions
- 19.1. These terms and the use of this website are governed by the laws of the Republic of South Africa. Subject to any mandatory consumer forum or jurisdiction, the South African courts have jurisdiction.
- 19.2. Our chosen address for formal service of legal process is De Villiers Way, Glencairn, Cape Town, South Africa, 7975. This does not prevent a notice from being given by another method accepted in writing or permitted by law.
- 19.3. If a provision is unlawful or unenforceable, it will be severed or limited to the minimum extent required without invalidating the remaining provisions.
- 19.4. A delay in enforcing a right does not waive that right. No amendment to a confirmed booking is effective unless recorded in writing by Travel African Time.
- 19.5. We may amend these website terms for future bookings. The current effective date will appear on this page. A material change will not retrospectively alter a confirmed booking without agreement or a lawful basis.
